Bookings Module (Bookengo Admin Panel)
The Bookings section gives hotel staff a complete overview of all shuttle reservations, their status, guest information, and payment details. It is the main page used by Reception, Concierge, and Operations to monitor daily shuttle operations.
Access to Admin panel:admin.bookengo.com
1. Main Bookings Table (Overview Screen)
This table displays all shuttle bookings, including future, past, cancelled, and expired reservations. It is the hotel’s operational dashboard.
1.1 Columns Explained
Booking Number
-
A unique alphanumeric code generated by Bookengo (e.g., BKZG4UYF).

Used internally for support or tracing payments.
-
Guests also see this number in their confirmation email.
Date
-
The departure date and time of the shuttle.
-
Important for daily planning.
Shuttle Bus
-
Shows which shuttle route the guest booked.
-
Example: Shuttle Airport Moxy Hotel
Return Date
-
Appears only if a return shuttle is offered and booked.
-
Empty if the shuttle is one-way only.
Customer
-
Name of the person who made the booking.
-
Useful for check-in, verification, or calling.
Pax
- Number of passengers booked.
Status
Possible statuses:

CONFIRMED → Booking is valid and upcoming
-
COMPLETED → Shuttle has already taken place
-
EXPIRED → Shuttle time has passed, and booking was not completed automatically or manually

CANCELLED → Booking cancelled by hotel or guest
Actions
Each booking has action buttons:

✏️ Edit → Modify date/time, guest details, room number, etc.

👁 View → Open booking details screen

🗑 Delete → Cancel the booking (guest will receive a cancellation email)
2. Booking Details Screen (Individual Booking)

This screen appears when staff click View (👁) or Edit (✏️).
It contains four key sections:
2.1 Booking Details
Includes internal metadata:

Booking Number
-
Created At (date/time when the guest submitted)

Last Updated (if changes were made)
-
Created By (guest email)
-
Status (Confirmed / Completed / Cancelled / Expired)
2.2 Shuttle Information
Contains the operational trip details:

Shuttle Bus → The specific shuttle route
-
Date → Departure date
-
Time → Departure time
-
Pax → Total number of passengers
This is what drivers and staff use to perform the daily pickup list.
2.3 Customer Information
Information provided by the guest during the booking:

Full Name
-
Email
-
Phone Number
-
Room Number (if provided)
This helps staff identify the guest, contact them for delays, or resolve issues.
2.4 Payment Information
Shows the payment outcome:

Invoice Number
-
Payment Method (e.g., Mollie, Credit Card, iDeal)

Payment Status:

PAID → Payment successful
-
EXPIRED → Guest didn’t complete payment

FAILED → Error during payment
-
REFUNDED → Hotel refunded guest

Payment Method ID → Internal reference used for support with PSP

Download PDF → Generates the invoice/receipt (PDF)
2.5 Cancel Booking Button
Located top-right: Cancel Booking

Cancels the booking immediately
-
Sends cancellation email to the guest
-
Should only be used when:
-
Shuttle is full
-
Guest requested cancellation
-
Hotel switches booking to internal transfer (until new provider-switch feature is added)

Key SOP Rules
✔ Never delete bookings unless absolutely necessary
✔ Always check payment status before confirming a guest boarding
✔ If a booking is Expired, the guest missed the to complete the booking
✔ For no-shows, keep the booking (do not delete) to preserve reporting accuracy
✔ Always verify phone number for early morning pickups
